Circlip
Circlip 1 · now at founding garages in Kenya

Owned,
not rented.

Circlip runs your workshop from the job card out: booking, diagnosis, parts, quotes, invoices, M-PESA and the real profit on every car. You buy the desktop once. It works when the internet doesn’t, and your records stay one file that belongs to you.

How it works

Every car moves through seven stages

The job card sits at the centre. The front desk books the car in, the mechanic works it on a phone, the owner sees every car in the yard and what it is waiting for.

  1. Booked in
  2. Diagnosed
  3. Parts
  4. In work
  5. Checked
  6. Ready
  7. Released

What's in the box

The whole workshop, on one screen

Job cards that run the floor

Odometer, “customer says”, the mechanic, labour clocked per line, parts added as they are fitted. A “next step” line on every card, so nothing sits forgotten.

Quotes the customer approves

Print or show the quote; record the approval. If your garage does not do approvals, switch them off. One place to add labour, so a quote and a card never disagree.

Money you can prove

Invoices, a payments ledger, owed-to-us and we-owe. M-PESA codes are checked across the whole ledger and cannot be used twice. Close the day with every payment line counted.

A stock room that cannot drift

Stock comes off the shelf when it is fitted, never below zero. Receipts are recorded as spending and tied back to the shelf. Draft orders from several cards combine into one order per supplier.

Profit in plain shillings

By customer, job type, make and month, with “how this is worked out” on every figure. Estimates are marked as estimates.

Fleet and company accounts

Terms and credit limits that warn but never refuse the work. One payment across several invoices, aging, monthly statements.

Comebacks and warranty

A return within 30 days or 1,000 km links to the first job and lands on the owner’s desk to decide. The warranty prints on the invoice.

Vehicle reference built in

2,148 frame codes, 381 engines and 1,194 service parts, with VIN decoding. Circlip also learns from your own records as you work. Reference only: the fitter confirms the fit.

Everything else

Service-due list, diary, insurance-claim jobs with the excess split, assets, roles and PINs, activity log, several PCs on one site, automatic local backups, country and tax settings, and a seven-sheet Excel export your accountant will accept.

Add-on

Assistant

Ask questions about any car, job or part in the garage’s own words, inside Circlip. Priced by the question, from KES 1,500 a month.

In development

Circlip Find

A motorist app that finds a Circlip garage nearby and lets them call, WhatsApp or get directions.

In development

Circlip History

A vehicle’s service and recall history by plate or chassis number.

It holds your records together.
It does not hold you.

A circlip is the cheapest, plainest part in the box. It has no moving parts, and its entire job is to sit in a groove and stop everything else sliding off. That is what this software does for a workshop. Your records are one file on your own PC. Export to Excel any day. If you ever leave, you leave with everything. How to leave →

Is it for you

Built for the independent workshop

A good fit

  • Independent garages of two to ten bays, one site
  • A front-desk PC on Windows, and mechanics with Android phones
  • Owners who want to see the real profit on each car, not a bank balance
  • Anyone tired of paper cards, too many Excel sheets, or paying per mechanic every month

Not yet

  • Chains with several branches sharing one stock room
  • Card-machine payments inside the app
  • Filing your KRA returns for you (eTIMS is being built against KRA’s test system)
  • Mac-only front desks

Founding garages

Twenty Kenyan garages, KES 35,000

The first twenty garages in Kenya pay KES 35,000 instead of KES 55,000, and their yearly Cover renews at KES 12,000 for as long as they keep it. In return we ask for a named testimonial and permission to publish your numbers once you have them. The offer is for twenty garages and then it ends.
